This notice explains what personal data BUBI Productions Ltd collects, why, and what your rights are. It is written to be read, not skimmed past.

What we collect and why
Enquiries and contact. When you write to us by email, the contact form or WhatsApp, we hold your name, contact details and what you tell us, to answer you and follow the conversation. Lawful basis: legitimate interests (responding to people who contact us), moving to contract once an engagement begins.
Running an engagement. Names and work contact details of the people we collaborate with at a partner, project briefs, the materials uploaded to the project's cloud drive, and the practical working notes we keep on how each person prefers to collaborate, held to run the engagement well. Lawful basis: performance of a contract.
Materials that contain other people. Footage and photos supplied for a project often show identifiable people. The supplying partner is responsible for their consent (see our Terms); we process this material only to produce the commissioned work.
Invoicing and accounts. Billing details and payment records. Card and PayPal payments are processed by Stripe and PayPal; we never see or store full card numbers. Lawful basis: contract and legal obligation (accounting law).
Website analytics and marketing tags. Only with your consent, via the cookie banner. Details, including every tag in use, live in the Cookie Policy at /cookies. Lawful basis: consent, which you can withdraw at any time.
Newsletter. If you sign up, your email address, used only to send it. Every issue contains an unsubscribe link. Lawful basis: consent.
What we never do
We do not sell personal data. We do not share partner data with anyone's competitors. We do not use your data to train any machine learning system, and we do not allow our tool providers to use it for training theirs.
Who we share data with
Service providers who process data for us under contract, each for its own job. Webflow hosts this website, and Cloudflare provides the bot-check that protects our forms. Google Workspace carries our email, documents and cloud drive. Frame.io, an Adobe service, carries review and delivery of video drafts; Adobe Creative Cloud carries production files. Slack and WhatsApp carry conversations where a partner prefers them. Notion carries project planning. vidIQ processes channel statistics for the accounts we manage. Stripe and PayPal process payments. Microsoft Clarity provides analytics, only where you have consented to its cookies. Day-to-day work happens on Apple devices and their synced storage. Our legal and accounting advisers see what their work requires. Otherwise we disclose personal data only where the law requires it.
Some providers process data outside the UK. Where they do, transfers rely on UK adequacy regulations or the appropriate safeguard contracts (the UK IDTA or Addendum with standard contractual clauses).
How long we keep things
Enquiries that do not become engagements: up to 12 months, then deleted.
Video and project files: one year after that video or project is delivered. Brand-level material (the strategy, research and SOP built around a partner's brand): one year after the partnership ends. Both as stated on our Billing page and in the Terms, then deletable.
Contracts and correspondence about them: 6 years after the engagement ends, the limitation period for contract claims.
Accounting records: 6 years, as tax law requires.
Newsletter data: until you unsubscribe.
Your rights
You can ask us for a copy of your data, ask us to correct it, delete it, restrict or object to our use of it, ask for it in a portable format, and withdraw any consent you have given. Write to info@bubiproductions.com; we respond within one month, or tell you within that month if a complex request needs up to two months more, as the law allows. You will never be charged for a first, reasonable request.
If you are unhappy with how we handle your data or your request, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put it right first.
Changes
When this notice changes materially, the date above changes with it and active partners are told directly.
